Booth Displays – Exhibitor/Sponsor understands booth display must comply to the guidelines set forth in the Terms and Conditions. Youth Specialties reserves the right to deny exhibit space to Exhibitor/Sponsor at any time.
Schedule – Exhibitor/Sponsor understands they must follow the posted schedule for hall load-in, active hall hours, hall closing, and hall load-out.
Food and Beverage Sampling – Exhibitor/Sponsor understands food and beverages may not be sold or given away from booth spaces due to venue policies.
Payment Policy – In consideration for the use of such space, Exhibitor/Sponsor shall pay Youth Specialties based on the booth package, sponsorship, and a la carte items selected in the NYWC planner. Exhibitor/Sponsor understands that half payment is due at time of booking and the remaining balance is due Monday, August 31, 2020. If an order is placed after Monday, August 31, 2020, payment is due in full at time of order.
Cancellation Policy – Exhibitor/Sponsor understands and agrees cancellations are refundable less a fee of 25% of the total cost, if notice is given in writing on or before September 7, 2020. Exhibitor/Sponsor understands no refunds will be given for cancellations after September 7, 2020. COVID-19: In the event NYWC cannot be held in-person due to COVID-19, the convention and exhibit hall will proceed as an online event. Exhibitor/Sponsor agrees that any elements of the purchased package that cannot be completed virtually will be replaced with an incentive of equal value established by Youth Specialties staff.
Early Tear Down Fee – Exhibitor/Sponsor understands a $250 fee will be charged to Exhibitor/Sponsor should they choose to tear down before the exhibit hall closes at 7:00 pm on Saturday, November 21, 2020.
Certificate of Insurance – During the date of their participate in the convention, including set-up and tear-down, Exhibitor/Sponsor understands it must carry the following: General liability insurance and evidence of worker’s compensation insurance. Exhibitor/Sponsor understands a Certificate of Insurance must be submitted to Exhibits Manager prior to load-in on Thursday, November 19, 2020.
Photography, Recording, and Video Release – Exhibitor/Sponsor grants Youth Specialties the right to use video footage and photography, including Exhibitor/Sponsor’s name, staff images, and booth images in Youth Specialties promotional materials.
Deadlines – Exhibitor/Sponsor understands they are responsible for meeting all required deadlines set by Youth Specialties. If these deadlines are not met, Youth Specialties will not be able to fulfill requirements.
Responsibility – Exhibitor/Sponsor understands he/she is responsible for briefing on-site staff of the above terms and conditions of exhibiting/sponsoring at NYWC. Exhibitor’s/Sponsor’s organization agrees to pay all fees or fines incurred if any member of its on-site staff breaks the terms and conditions of the Exhibitor’s/Sponsor’s contract.
